New Software Inquiry


We compiled the following questions to help guide those who are exploring a new software or service. Please gather this information in advance of purchase, even if the IT impact seems small so that we can help accomplish your goal and make proper use of university resources.  Feel free to share this page with a potential vendor, then use the form link at the bottom of the page to share all of the details.

Vendor Questions

Please work with your potential vendor to answer the following questions.

  1. Do they provide integration with Banner?
  2. If vendor integrates with Banner, are they an official Ellucian partner that provides Ethos data integration?
  3. Do they provide single sign-on integration with Central Authentication Service (CAS) or SAML (Shibboleth)?
  4. What is required of IT for implementation as well as on-going support? (this includes hosting, integration, client software installs, etc.)
  5. What does a typical implementation timeline look like?
  6. What is the vendor’s security policy and what security protocols do they support?
  7. Will the application collect, store, or otherwise utilize PCI-related credit card data?
  8. Who are some of the vendor’s current customers, specifically in higher education? (we prefer multiple references)

Internal Questions

Please answer the following questions to help us understand the use case for the software as well as other solutions you have considered.

  1. What is your business case for implementation of the software?
  2. Is this replacing an existing application or is it a new business need?
  3. What other solutions have been considered besides this vendor?
  4. What existing software owned by the university have been taken into consideration?
  5. What audience will use the software?
  6. Will Banner data be required?  If so, what data?
  7. What is the total cost of ownership (TCO)?  (This includes the cost of the software as well as any hardware or IT personnel cost for management and support.)
  8. Has the Office of General Counsel reviewed a contract?
  9. What is your timeline for a potential implementation?
