ACU Staff Senate Minutes<\/span>
\nThursday \u2013 December 14, 2017<\/span>

    \nPrayer<\/span>
    \nCraig Fisher – per bylaws, he did not qualify to be on the ballot for Staff Senate and he will now step back and remove himself from the senate.<\/span><\/p>\n

    III. Approval of Minutes – Minutes approved<\/span><\/p>\n

    Senator Resignation:<\/span>
    \nCarolyn Jeter has resigned due to workload in her office<\/span>
    \nShe was second term<\/span>
    \nCraig Fisher\u2019s role as chair elect must be replaced.<\/span>
    \nExecutive Committee will choose from the list of the new senators this year.<\/span>
    \nShannon: \u00a0It makes sense not to replace Carolyn for a 6 month remainder of time.<\/span>
    \nCB: \u00a0Does anyone feel differently?<\/span>
    \nEG: \u00a0Language says an alternate must be appointed<\/span>
    \n Article 3 section 5<\/span>
    \nIf the alternate serves \u00be of a term, will the alternate be eligible for a full 2 year term if re-elected in next year? \u00a0Technically anyone who replaces Craig will serve a year and a half.<\/span>
    \nIn precedent for Carolyn\u2019s position, we have operated with a vacancy.<\/span>
    \nCB: Would vote to not replace Carolyn, replace Craig. \u00a0We will look into this and discuss it in the January meeting<\/span>
    \nCurtis: \u00a0It seems that it would help the senator to have this 6 months to acclimate to senate in the event that they get elected in the next term.<\/span>
    \nEG: \u00a0If we decide not to replace Carolyn, we need a formal motion and vote in the minutes.<\/span>
    \nSteve: \u00a0seems that we can make the decision re: Carolyn today.<\/span>
    \nGrant: I motion \u00a0to vote on leaving Carolyn\u2019s position vacant<\/span>
    \nSteve: \u00a0I second that<\/span>
    \nEG: \u00a0We have a quorum.<\/span>
    \nVote: \u00a0Unanimous<\/span>
    \nChris: \u00a0We will make an exception to the bylaws and not fill Carolyn\u2019s position. \u00a0We will replace Craig with the next <\/span><\/p>\n

    D\u2019Angelo<\/span>
    \nUpward Bound – Federally funded program<\/span>
    \nI am responsible for recruitment<\/span>
    \nWe serve Abilene, Cooper, and ATEMS<\/span>
    \nI am also responsible for tutoring, advertising, <\/span>
    \nI teach a class in the summer<\/span>
    \nDuring the school year, we provide academic support.<\/span>
    \nWe pick them up from school, bring them to acu and <\/span>
    \nThree weeks on campus seniors and rising seniors<\/span>
    \nBeen here since 1995<\/span>
    \nResponsible for feeding them in the summer<\/span>
    \nThink Tank style class – reach out to community to have speakers come in and speak to the students<\/span>
    \nWant them to see the benefits of college<\/span>
    \nWe also travel, went to Boston last summer<\/span>
    \nMany of these students haven\u2019t been out of Abilene<\/span>
    \nAll of this is free for students<\/span>
    \nMany of the students are economically disadvantaged, some are failing classes, some are first generation<\/span>
    \nChallenges: \u00a0when we change staff<\/span>
    \nWe provide a safe environment, they love the rec center!<\/span>
    \nServe 65 students, 40 usually show up consistently<\/span>
    \nSupport: \u00a0I would love to have someone to teach during the summer<\/span>
    \nWant \u00a0to be a speaker? Encourage the kids! Internships? <\/span>
    \nWe would welcome any collaboration from people among <\/span><\/p>\n

    ACU employees – the university invests in the program<\/span>
    \nNot allowed to recruit for ACU<\/span>
    \nTRiO day – allows for people to come to ACU to learn more about TRiO<\/span>
    \nA handful of kids do come to ACU because they have become so familiar with it.<\/span>
    \nHeld compatible for high school completion and being enrolled in college the \u00a0fall of their graduation year<\/span>
    \n100% graduated and enrolled in college this fall.<\/span>
    \nOutside challenges: \u00a0We are \u00a0a line item in the congressional budget, can be cut at any time<\/span>
    \nState and regional program – 5 year cycle<\/span><\/p>\n

    1. \u00a0Faculty\/Staff Christmas Lunch Service Opportunity – December 19<\/span><\/li>\n<\/ol>\n

      We will serve as greeters, hand out silverware<\/span>
      \nAssisting with taking trays, etc.<\/span>
      \nAubrey – we would like to do something for her from the senate<\/span><\/p>\n

        \n
      1. \u00a0Meeting with Dr. Schubert<\/span><\/li>\n<\/ol>\n

        Filled him on what we have done and are working on<\/span>
        \nHe talked about his vision for the senate – we are helping the rest of campus maintain an accurate perspective. Would expect the senate to have positivity and communicate accurately. \u00a0They are working on the Q&A document following the Staff Meeting<\/span>
        \nI will reach out to Stephanie to invite him to a meeting, hopefully January<\/span>
        \nWe can clear up anything and be set for the Spring<\/span><\/p>\n

        Topics from the Fall<\/span>
        \n2 week pay cycle – start talking to Wendy<\/span><\/p>\n

        Campus Survey-<\/span>
        \nhad a lengthy discussion regarding that last meeting. \u00a0<\/span>
        \nSteve: \u00a0It felt like it was poor timing to do the survey at this time. \u00a0I think we need to do the survey every year at the same time so we can create a baseline of morale.<\/span>
        \nCB: \u00a0how often do we do the best places in the world to work? \u00a0When does that happen? \u00a0<\/span>
        \nGA: \u00a0When is a good time to send this out? \u00a0<\/span>
        \nSR: \u00a0We need a time that is consistent<\/span>
        \nCK: \u00a0I am thinking September would be a great time, not sure we should even send it now<\/span>
        \nJF: \u00a0Traditionally this would be a great time because cuts usually happen in April<\/span>
        \nDB: What do we do with the results?<\/span>
        \nSR: \u00a0I think we look at them and see if there is a solution. \u00a0I think we get to own the data completely and we get to distribute that information. \u00a0And communication to senior leadership needs to be ours too.<\/span>
        \nThis year may be \u00a0the lowest score ever. \u00a0<\/span>
        \nJF: \u00a0We MUST assure people that it is confidential.<\/span>
        \nEG: \u00a0Chronicle of Higher Ed is conducted in March<\/span>
        \nSR: \u00a0I want to beat them with the survey<\/span>
        \nEG: \u00a0I still think we get the results from the last survey. \u00a0If we can\u2019t we need to say that upfront.<\/span><\/p>\n

        Bereavement Leave – there are differences between departments, confusion re: policy. Talk to Wendy. May be beneficial to invite Wendy to a meeting.<\/span><\/p>\n

        Committee guidelines\/purpose<\/span>
        \nCB: \u00a0We need to clarify what we wanted here. \u00a0The idea was to put things in concrete so they don\u2019t fall off and there is consistency.<\/span>
        \nGA: \u00a0Provide charges<\/span>
        \nEG: \u00a0the nominations committee created a google drive, but it is a rough piece. \u00a0<\/span>
        \nOne of the requirements would be that each committee needs to submit a report to the google drive.<\/span>
        \nThis way we\u2019ll know from year to year what was done.<\/span>
        \nWhen the new committees are seated, access to the drive needs to be changed over<\/span>
        \nTina: \u00a0I think that is what Stephanie is trying to create<\/span>
        \nJF: \u00a0The team drives \u00a0would be better<\/span>
        \nEG; \u00a0Make sure some folders are available only to required people and <\/span>
        \nCB: \u00a0These documents will need to due in May from each committee<\/span><\/p>\n

        EG: \u00a0We want to revisit the exempt\/non-exempt status now that the DOL has stayed it<\/span><\/p>\n

        Steve: \u00a0I think we should have Wendy here and schedule plenty of time<\/span>
        \nEG: \u00a0seems that in the budget climate, it would be better to have set payments<\/span><\/p>\n
