Staff Senate Meeting Minutes

In Attendance:  Steve Rowlands, Cindy Gravitt, Chris Ballard, Curtis King, Jill Fortson, D’Angelo Sands, Tina Chisolm, Craig Fisher, Eric Gumm, Aubree Browning, Prentice Ashford, Dave Beard,

Craig Fisher – Alumni Relations Department Update

Responsible for:

  • Alumni Events and engagement opportunities
  • Homecoming Activities
  • Alumnus and Alumni – 3 a year, give awards in their hometown, helps advertise us in those markets
  • Young alumni program – being built by Aubree – How can we keep them engaged in the university, get them back on campus to talk, doing events differently for them targeted toward how they like to do things
  • Legacy Families – gifts to alumni kids:  Onesies, Pillow Cases, Keychains
  • Groundbreakings
  • Vision in Action campaign – celebrations, announcement
  • 50th anniversary reunions
  • WACU, Alumni chorus
  • Family Weekend
  • Two times a year 30 member alumni board meets
  • University relations managers live in the major markets D, SA, Houston, Austin – They build relationships.  Gift officer, University Relations Managers, admissions counselor work together in those markets having events
  • Alumni engagement – acu moms, networking luncheons,Assists when an ACU department comes to the market. Measure all the work they are doing
  • Carrie Hill in Houston is the boots on the ground in the Harvey recovery on behalf of acu. Recrafted her job description for this semester, she will help determine when missions go
  • Annual fund team – raise the unrestricted giving, work with different departments to raise affinity giving
  • Advancement communication and communication for whole university, alumni connect best with their departments, mentors, etc.
  • Odds and ends – stadium: This year is like five homecomings

 

Chris Ballard – How can we as staff help Craig?

Craig Fisher:

  • POSITIVITY!!! Through social media, on campus and among ACU friends
  • Look for volunteer opportunities
  • Use your network to invite people to come back for different events, bring their kids for visits
  • Encourage alumni to make donations, even small ones
  • Give to the program that is most important to you!
  • Tell the stories!
  • Be available and use our resources – come see alumni to help your department to connect with alumni.
  • Day of giving was a huge success – great involvement from alumni. John willis and Katie Kirby funds – Katie Kirby fund helped SOAR.  Pushed heavily to that small donations matter – got a lot of small donations that really added up. Will do it again this spring, marketing  it to current students as well, build philanthropy mentality
  • Eric – recognition for alumni giving nationally

Chris Ballard – Committee Meeting Updates

D’Angelo Sands

Service committee – 2 meetings with 100% attendance

  1. How do we approach service on campus
  2. Want staff to feel support from senate
  3. Contact offices specifically and offering our help to departments and staff members
  4. Summit – would like us to serve, include non-senators as well 6pm in Cullen
  5. Please let sands know if you can help Monday night
  6. Jennifer Ellison – assistance with prep for the concert, labor intensive work
  7. Tonight 7-10:30, chapel is in the stadium tomorrow
  8. Show up to stuff!!!!
  9. Free t-shirt on the way out
  10. Trash pick up

Communications Committee:  Cindy Gravitt

  • Plans for Town Hall Meeting
  • Aubree can help us send an email to the town hall meeting

 

By law committee – Eric Gumm

  • Significant changes remove the exempt/non-exempt
  • Term limitations proposal
  • Clean up
  • There will be a document outlining this

 

Chris – do we need a separate time to review proposal?

EG – will probably take about half of a meeting for the discussion

Chris – 10 years since bylaws have been reviewed

EG – need for each committee to create a charge/requirements for the work that their committee needs to do and documenting the procedures/practices for completing that work

Google drive for the folder for staff senate = new members can have access to it, and a subfolder for each committee

Met four or five times for about an hour and a half each time

 

Tina Chisolm

  • Non-exempt pay schedule from twice a month to every two weeks; know what the paycheck will be.  26 vs. 24 paychecks a year
  • Eric – What are our benchmarks? Worthwhile project
  • Go to payroll, hr
  • How did we get where we are at?
  • Is this the best practice
  • If we can’t change it, why not?
  • Don’t have a standard for pay for non-exempt employees
  • The rule we were responding to , has been stayed by texas legislature –
  • Some offices have moved people back to exempt
  • All requests for switching back are on hold
  • Staff senate should advocate for the exempt/non-exempt issue
