Extra-Departmental Usage of the Shore Gallery

The Virginia Shore Gallery is first and foremost an art exhibition space for the benefit of our department, students, the ACU community and visitors to our campus. However we recognize its suitability and uniqueness as a site for other events. To best facilitate these kinds of events we have formulated the following policies and procedures:

It is best to inquire about reservations 2-3 months ahead as times are limited. Keep in mind our gallery schedule is our first priority. If shows are tentative or have not been confirmed this may hinder our ability to schedule your event. Also, some shows have too many works of art to accommodate events.

Procedure:

  • Contact the administrative coordinator (see contact info below) to check availability and describe the proposed event.
  • Complete the Gallery Reservation Form.
  • Pick up the key from the administrative coordinator in the Art and Design office. It is best to call ahead.
  • The key must be returned the following morning to the Art and Design office.
  • There may or may not be a fee for usage of the space. The administrative coordinator will have this information.

What we do and do not provide:

  • We provide the space but no setup or cleanup services.
  • All supplies must be brought in and removed by the event planners.
  • There is a sink and a refrigerator but counter space is limited.
  • A limited number of chairs and tables may be available upon request.

Important Requirements:

  • At the event’s conclusion, everything must be immaculately cleaned and all must be left in pristine condition. No food or rubbish can be left in the gallery or storage area overnight. Trash must be tied up neatly in bags.
  • Please do not leave leftover food in refrigerator or storage area. Please throw away or take with you.
  • It is imperative that care is taken around artworks on display. Floor pieces may only be moved with permission and must be replaced in the original position. It is a good idea to photograph the space if artwork is moved to assure items are places back in original positions.
  • In some cases the people responsible for setup are not the same as those responsible for cleanup. In these cases coordination of the two is extremely important to assure the gallery is returned to its original condition. Again, taking photographs of the space beforehand can be helpful.
  • If work is damaged, it is the responsibility of the event organizers to make recompense if necessary.
